First things first. Here's how to address a cover letter. Align your contact details, including email and phone number to the right. Drop a space, and list the name, position and address of the hiring person, aligned to the left. Below, record the date, and the subject of the letter.

What to include in the main body of your cover letter? Pick the 2 or 3 achievements from your customer service CV that most accurately match the requirements that the employer describes in the job advertisement.
Try and put your impact into numbers by estimating the volume of queries you process, your effectiveness, savings, improvements or achievements you made. Anyone can pick up the phone. You make the magic happen, however.

Limit your cover letter ending to 60-80 words. Below, in a single sentence, ask for an interview or call to discuss how you can start improving their business. Sign off with a formal closing, such as ‘Best Regards’.

6. Use a professional customer service cover letter format
Just like your phone manner, your cover letter must project confidence and calm, and be neatly organised and controlled. Follow these easy cover letter rules for formatting:

- How long should a cover letter be? 200-350 words total. From half a page of A4, up to 1 page of A4.
- Opening paragraph—between 60 and 80 words
- Main body—between 120 and 200 words
- Closing paragraph—between 40 and 60 words
Match the CV
The structure of your cover letter and CV should match—as they form a whole document together.
Choose an easy-to-read font
Use a simple cover letter template and don’t make it hard on the eyes by using a font that is too small or too fancy. Stay between size 10 and 12, and go for a classic like Arial, Noto, Garamond or the default Calibri.
Use white space
A neat cover letter layout will direct the reader’s gaze by leaving spaces between sections and paragraphs. If you have a huge block of text in the middle, consider pulling out some bullet points to organise it neatly.
Use even margins
