Here's how to write an administrator (admin) CV that is up to the task: 

1. Craft a perfect personal statement for your admin CV

Every administrator CV should be adorned with a personal statement at the top. The CV personal statement is about as much information as you could give during an elevator ride. You probably won’t get hired just for the 15-second pitch. But they may want to keep talking outside the lift.

That’s the objective—to keep them reading. List your years of experience and the most unique achievement you hold claim to. Something that not a lot of people can say for themselves. Acquaint yourself with the job posting and make sure that the achievements you list are relevant.

2. Write your administrator CV job description

The CV work experience section is the place where the majority will stop reading. Once you start listing a laundry list of boring responsibilities like booking appointments and managing supplies, recruiting managers stop reading. Instead, quantify the scale and impact of your work.

Mention the size of budgets you managed, how many staff diaries you booked, the percentage improvements you made in anything. More than anything, they show your attention to performance, and that is a desired trait in any employee.

List 5 to 7 bullet points for your most recent position, and 3 for the older ones. A good rule is for 75% of your bullet points to have numbers to back you up, and so that the employer can imagine how you will perform with your new responsibilities.

3. Add an education section to your administrator CV

The education section is a must on any CV, but many candidates will waste space and the recruiter’s attention with needless details, or going too far back. Only list your most recent qualification level on your CV for administrator.

For degrees, list the classification, title, graduation date and on the second line—the university and location. For secondary qualifications, you can sum up your grades as “5 A*-C grades” for example. Single out only the ones relevant to the position or with especially high grades.

4. List relevant administrator skills in your admin CV

Every administrator has many hats—the payroll hat, the invoicing hat, the scheduling hat. Most CVs now will contain a skills section where you can reiterate your strongest points, or make a shortlist of miscellaneous skills that didn’t warrant a deeper discussion.

If you are low on experience, you can add a sentence or two to each skill and explain how you acquired said skill and what you achieved with it. Doing so could make the hybrid CV format the right one for you.

5. Add additional sections to your administrator CV

If many candidates all have similar experience, additional CV sections can make all the difference. List your awards, certifications, languages, or volunteering experience under appropriate headings, and order them descending in relevance.

6. Include an administrator cover letter with your admin CV

Your CV for administrator needs a cover letter, they are two parts of the same document. The cover letter allows you space to put your experience in context, and to discuss some finer points. 

The first paragraph should be something akin to your personal statement, by introducing your experience and your one most unique achievement, as well as your motivation to work for the company.

The body of the cover letter should explain how good you perform in 2 or 3 main areas that the employer has specified are important to them in the job ad. The last paragraph of your office administrator cover letter should bring it all together and set out exactly what you’re hoping to do for them.
